Privacy Policy

This policy explains how Rizenware Software, LLC collects, uses, shares, retains, and protects information through CubbyTrack.
1. Who we are
Rizenware Software, LLC provides CubbyTrack, a childcare management platform used by childcare programs, their authorized staff, and invited parents or guardians. Contact us at support@cubbytrack.com.
2. Information we process
We process account and contact information; childcare-program details; child enrollment, attendance, classroom, care, learning, meal, health, medication, emergency-contact, and authorized pickup information; family and staff records; communications; billing and invoice records; subscription and transaction references; device, log, and security information; information users choose to upload or enter.
3. How information enters CubbyTrack
Information is provided by childcare-program owners, administrators, staff, and invited parents or guardians. Children are not permitted to create CubbyTrack accounts or submit information directly. Childcare programs decide what child and family information to enter and are responsible for their notices, permissions, recordkeeping duties, and lawful use of the service.
4. How we use information
We use information to provide and secure the service; authenticate users; operate attendance, billing, family communication, compliance, and related features; process subscriptions; provide support; prevent fraud and misuse; diagnose problems; maintain records; and comply with law. We do not sell child or family information or use it for targeted advertising.
5. Service providers and disclosures
We use service providers that help operate CubbyTrack, including Supabase for authentication, database, and file-storage infrastructure; Vercel for application hosting; Square for supported subscription and tuition-payment processing; and Resend for certain transactional email notifications. These providers process information under their own terms and privacy commitments. We may also disclose information when legally required, to protect safety and rights, or as part of a merger, financing, acquisition, or sale, subject to appropriate protections.
6. Payments
Square processes supported payment-card and billing information. CubbyTrack does not store complete payment-card numbers. Childcare centers may connect their own Square merchant accounts for supported tuition-payment workflows, while CubbyTrack software subscriptions are processed through Rizenware Software, LLC's Square merchant account. Square may collect transaction, device, identity, and fraud-prevention information under its own privacy terms.
7. Children’s privacy
CubbyTrack is an adult-directed business service for childcare programs and invited adult guardians. It is not intended for use directly by children. Child information is entered and managed by authorized adults for childcare operations. Childcare programs must provide required notices, obtain required permissions or consents, honor parent rights, and collect only information reasonably necessary for childcare purposes.
8. Access, correction, and deletion
Parents and guardians should first contact their childcare program to review, correct, export, restrict, or delete records about their family or child. Account holders may contact support@cubbytrack.com for assistance. We may need to verify identity and authority before acting, and some records may be retained when required by law, safety obligations, disputes, or legitimate recordkeeping requirements.
9. Retention
We retain information while an account is active and as reasonably needed to provide the service, maintain security, resolve disputes, meet contractual or legal obligations, and support recovery from backups. Childcare programs should remove records they no longer need. When deletion is appropriate, we use reasonable measures designed to prevent unauthorized access or use.
10. Security
We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access and database access controls. No online service can guarantee absolute security. Users must protect credentials, use unique passwords, promptly remove former users, and report suspected unauthorized access.
11. Job applications
If you apply for a role, we collect the name, contact details, location, time zone, answers, and résumé you submit. We use them to assess your application and communicate about hiring. Applications are transmitted through our hosting and email providers to jobs@cubbytrack.com and are available to our hiring team. We retain applications as reasonably needed for hiring, recordkeeping, and legal obligations. To request access, correction, or deletion where applicable, email jobs@cubbytrack.com.
12. Business outreach
When our sales team contacts a childcare center, we may keep its business contact details, outreach history, trial follow-ups, and relationship notes to respond to inquiries and manage business relationships. We honor requests to stop outreach. Contact support@cubbytrack.com for questions about these records.
13. U.S. operation and changes
CubbyTrack currently operates for customers in the United States. We may update this policy as the service or law changes. Material changes will be posted with a revised effective date and, when appropriate, additional notice.
