Pricing, trial rules, payments, switching, staff time, parent access, mobile use, multi-location support, and setup help — without making you dig through a sales maze.
How much does CubbyTrack cost?+
The Fall Special includes every feature for $39.95 per month per center for the first 12 monthly payments after an eligible 30-day free trial. After that, the rate is $59.95 per month.
Is there a free plan?+
New centers can try every CubbyTrack feature free for 30 days. Afterward the price is $39.95 per month per center. Existing promotional access is honored.
Do I have to enter a card just to create an account?+
No. Creating the initial CubbyTrack account does not require payment information. Payment information is collected when the center completes Square subscription setup for the $39.95 monthly plan.
What happens after the 30-day trial?+
The center pays $39.95 per month for the first 12 monthly payments, then $59.95 per month unless the subscription is canceled. CubbyTrack shows subscription status and trial timing inside the account.
Are features locked behind higher-priced plans?+
No. CubbyTrack includes every feature in one plan. The Fall Special is $39.95/month for 12 months, then $59.95/month.
Can CubbyTrack handle parent tuition payments?+
Yes. Centers can connect their own Square merchant account for supported online tuition, invoices, autopay, partial payments, refunds, family checkout, account credits, subsidies, and split-payer responsibility.
Who receives tuition money?+
Supported online tuition charges are processed through the childcare center's connected Square merchant account. Square handles the payment transaction while CubbyTrack records the payment against the center's invoice and family balance.
Are Square processing fees included in the CubbyTrack subscription?+
No. CubbyTrack subscription pricing is separate from payment-processing fees charged by Square. Payment processing terms and fees are governed by the center's Square account and Square's current terms.
Can two parents or an agency split one invoice?+
Yes. Before money is collected, a center can assign exact portions of an invoice to connected guardians, a subsidy agency, or another payer. CubbyTrack then limits each family payer to the share assigned to them.
Can a parent pay for siblings in one checkout?+
Yes. A connected parent can select multiple eligible balances and make one supported Square checkout payment. CubbyTrack allocates the payment back to the correct child and invoice records.
Does CubbyTrack support staff clock-in and timecards?+
Yes. CubbyTrack includes staff schedules, time clock, breaks, timecards, regular and overtime hours, PTO/holiday/sick tracking, approvals, payroll totals, printable reports, and CSV exports. CubbyTrack does not currently process payroll or file payroll taxes.
Can I move information from another childcare system?+
CubbyTrack includes import tools for supported records. You can build the center first, bring over supported data, review staff and billing setup, and invite families when you are ready. You do not have to switch everything in one day.
Can I use CubbyTrack on a phone or tablet?+
Yes. CubbyTrack is a responsive web application that can be used in a modern browser on phones, tablets, laptops, and desktops. A separate native iPhone or Android app is not currently required for normal CubbyTrack workflows.
Does CubbyTrack have Tap to Pay on iPhone or Android?+
Not currently. CubbyTrack supports online and recorded payments now, while native phone-based Tap to Pay is being held for a later mobile-app phase.
Can I manage more than one childcare center?+
Yes. Authorized operators can manage multiple physical centers and switch between center contexts. Billing is per physical center, and additional centers do not automatically receive the first center's trial.
How do parents get access?+
The childcare center connects or invites the parent or guardian. Parents do not create an unrelated center account on their own. Once connected, the family can use the Parent Portal for the records and workflows the center has made available.
How is access protected?+
CubbyTrack uses authenticated accounts, role-based access, center boundaries, and database row-level security. Parents are limited to connected family records, while staff and manager access is separated by role.
How do I get help setting up my center?+
Email CubbyTrack at support@cubbytrack.com or use the Contact page. Setup is designed to be completed step by step with an in-app checklist rather than requiring the whole center to move overnight.
